Our Approach
From Data to Market Access
Compliance is not a final check but a sequence of fixed steps that runs through the entire supply chain. The mechanisms below turn standardised product data into customs clearance, complete documentation, and lawful, insured market entry.
HS / TARIC Classification
Every product is assigned the correct EU customs tariff code. Ensures accurate duty calculation and prevents customs holds at the border.
Customs Documentation
Commercial invoice, packing list, and customs declarations are prepared for every shipment. EORI registration is held by Apotropaeon as the EU importer of record.
Import VAT & Artikel 23
Management of the Dutch import VAT utilises the Artikel 23 deferral license, a standard EU importer procedure.
Incoterm Management
We actively manage the Incoterm process for every shipment, standardising risk and cost allocation with each production partner to eliminate ambiguity. This ensures all responsibilities, from transport to import, are clearly documented and agreed upon across the supply chain.
Carrier Compliance
DHL for standard shipments. Malca-Amit for high-value gold and gemstone consignments. Both carriers are fully insured and compliant with precious goods transport regulations.
Product Data Compliance
Our product data standard ensures every product includes all information required for EU and global trade: material composition, origin, HS code, images, certifications, and traceability.
Anti-Money Laundering & Integrity
A Regulated Compliance Framework
As a dealer in precious metals and gemstones, Apotropaeon is an obligated entity under Dutch and EU anti-money-laundering law. We treat financial integrity as part of the product, not an afterthought.
Wwft Obliged Entity
Apotropaeon operates in accordance with the Dutch Anti-Money Laundering and Counter-Terrorist Financing Act (Wwft) as a dealer in precious metals and stones.
Customer Due Diligence
We identify and verify our partners and clients, establish ultimate beneficial ownership, and confirm the source of funds where required, before any business relationship begins.
Cashless by Design
All transactions run through traceable banking and payment channels. We do not accept cash settlement, removing a primary money-laundering risk at source.
EU AMLR Readiness (2027)
We are aligning our policies with the EU Anti-Money Laundering Regulation, which applies directly across the EU from 10 July 2027 under the supervision of the European authority AMLA.
Gemstone Certification
Independently Graded Gemstones
Beyond our in-house quality control, gemstones are treated as a certified product category with independent verification.
Independent Grading
Each gemstone is accompanied by a grading report from an internationally recognised laboratory such as GIA or IGI.
Verified Provenance
Origin and material data are recorded in our product data standard and travel with every stone, from atelier to client.
Responsible Sourcing
Gemstones are sourced in line with international due diligence standards, including the OECD Due Diligence Guidance, supported by documentation of ethical origin.
Protected Materials (CITES)
Where a material falls under CITES or comparable controls, the required permits accompany each shipment.
Responsible Sourcing
Sourced With Accountability
We hold our supply chain to international standards for the responsible and ethical sourcing of gold and gemstones.
OECD Due Diligence
We apply the OECD Due Diligence Guidance for Responsible Supply Chains of Minerals to identify and manage sourcing risks.
Chain of Custody
Every piece is traceable to its production partner and material origin through our product data standard.
Vetted Workshops
We work only with vetted production partners who meet our standards for craftsmanship, working conditions, and material integrity.
Industry Alignment
We align our practices with recognised industry frameworks, including the principles of the Responsible Jewellery Council (RJC) and Fairmined.
